Menopause Hub Privacy Statement

We are The Menopause Hub. We are the Data Controller of the personal information we collect, hold and use about you on this App, as explained in this notice.

We take the privacy, including the security, of personal information we hold about you seriously. We want you to understand what information we collect, and how we use and share it. That’s why we encourage you to read this Privacy Policy.

We may issue you with other privacy notices from time to time, including when we collect personal information from you. This privacy policy is intended to supplement these and does not override them.

We may update this privacy policy from time to time. This version was last updated on 28th June 2024.

The Menopause Hub has developed this App to help make access to menopause content and services simple, provide our users with menopause information, medical reminders and symptom tracking, and assist patients and clients of The Menopause Hub throughout their journey.

Your Personal Information  

So that we are able to provide you with services on our App, it is necessary for us to collect and process personal information. ‘Personal information’ means any information from which you can be identified. It does not apply to information that has been anonymised.

This may include ‘sensitive personal information’ concerning your health. This data is handled with the utmost care and is subject to extra protection under data protection law.

What Personal Information We Collect About You

We may collect, use and hold certain types of personal information about you as follows:

  • Identity information relating to your identity such as your name (including any previous names and any titles that you use), gender, marital status and date of birth.

  • Contact information relating to your contact details such as email address, addresses, and telephone numbers.

  • Health information concerning your past, current or future health

  • Survey information that we have collected from you or that you have provided to us in respect of surveys, questionnaires and feedback.

  • App, device and technical information about your use of our App and technical data which we collect (including your IP address, and the version, the operating system you are using, details about the time zone and location settings on the device and other information we receive about your device).

  • Marketing information relating to your marketing and communications preferences.

The types of personal data we collect about you may differ from person to person, depending on who you are, the relationship between us, and how you use this App.

Where we do hold sensitive information about you, we will usually do this in the following circumstances:

  • Where we have your explicit consent.

  • Where it is necessary in relation to legal claims.

  • Where you have made the personal data public.

It is important that you keep your personal information up to date. If any of your personal information changes, please contact us as soon as possible to let us know. If you do not do this, then we may be prevented from supplying the services to you.

Under data protection laws, we can only use your personal information for the purposes we have told you about, unless we consider that the new purpose is compatible with the purpose(s) we told you about. If we want to use your personal information for a different purpose that we do not think is compatible with the purpose(s) we told you about, then we will contact you to explain this, and what legal reason is in place to allow us to do this.

How We Collect Your Personal Information

We usually collect Identity Information, Contact Information, Survey Information, Marketing Information, Special Information directly from you when you fill out a form, survey or questionnaire, contact us by email, telephone, in writing or otherwise. This includes the personal information that you provide to us when you subscribe to our mailing list or enter a survey.

How We Use Your Personal Information

We use personal information we collect to provide a personalised experience to you and to provide you with menopause information, medical reminders and symptom tracking, and to assist you in your menopause journey.

Sometimes, we may de-identify, aggregate or anonymise personal information, or use some of your personal information together with other people’s personal information so that you can no longer be identified from it. Such information is used for our own purposes to improve our services and to give us statistical information for clinical research. This is to help improve our understanding of menopause for social good.

Because this is grouped together with other personal information, and you are not identifiable from that combined data, we are able to use this.

We may also use your personal data where we need to comply with a legal or regulatory obligation.

If we need to use your personal data for a purpose unrelated to the purpose for which we have collected the data, we will notify you and we will explain the grounds for processing.

Disclosures of Your Personal Information

We may need to share your personal information with other parties. These parties include:

  • Service providers who provide IT and system administration services

  • Professional advisers such as lawyers, accountants, auditors and insurers

  • Treating doctors as part of their continuing patient care, medical education or for the purpose of training doctors and/or medical students

  • Government bodies and other regulatory bodies such as revenue and fraud prevention agencies

  • Universities, academics and other institutions engaged in clinical and/or medical research

  • any organisations that propose to purchase our business and assets, in which case we may disclose your personal information to the potential purchaser.

  Depending on the circumstances, the organisations or people who we share your personal information with will be acting as either Data Processors or Data Controllers. Where we share your personal information with a Data Processor, we will ensure that we have in place contracts that set out the responsibilities and obligations of us and them, including in respect of security of personal information.

We do not sell or trade any of the personal information that you have provided to us.

We do not transfer your personal information outside of the EEA.

How Long We Hold Your Personal Information

We will only hold your personal data for as long as is necessary. How long is necessary will depend upon the purposes for which we collected the personal information and whether we are under any legal obligation to keep the personal information (such as in relation to accounting or auditing records or for tax reasons). We may also need to keep personal information in case of any legal claims, including in relation to any guarantees or warranties that we have provided with the services.

Data Security

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know such information. They will only process your personal information on our instructions, and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Your Legal Rights

Under data protection laws, you have certain rights in relation to your personal information, as follows:

  • Request access to your personal data

  • Request correction of your personal data

  • Request erasure of your personal data

  • Request restriction of processing your personal data

  • Request transfer of your personal data

  • Object to processing of your personal data

  • Right to withdraw consent

If you want to exercise any of the above rights in relation to your personal information, please email us at info@themenopausehub.ie . We may need certain information from you so that we can verify your identity.  This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.   

We do not charge a fee for exercising your rights unless your request is unfounded, repetitive or excessive. If your request is unfounded or excessive, then we may refuse to deal with your request.

Complaints

If you are unhappy about the way that we have handled or used your personal information, you have the right to complain to the Data Protection Commissioner (DPC). Please do contact us in the first instance if you wish to raise any queries or make a complaint in respect of our handling or use of your personal information so that we have the opportunity to discuss this with you and take steps to resolve the position.
